Upon enrollment, each parent must agree to regular, timely payment of childcare tuition—which are determined for each individual family according to a sliding fee scale.  RCFC is one of a few programs to offer a sliding fee scale.  For families that qualify, weekly childcare fees are set based on the family’s total annual income. Parents can identify the monthly tuition they will be expected to pay in accordance with their annual gross family income. Families who wish to pay the reduced tuition are required to provide documentation of income for the previous year and two current paycheck stubs.  Families who are income eligible for childcare subsidies are expected to have their subsidy and copayment amount confirmed before enrollment. If families enroll before their subsidy contracts are approved, they are responsible for the tuition amount commensurate with their family income bracket.  Childcare tuition is due by the 1st day of each month or week, determined by your payment contract. Failure to pay monthly tuition in full and on time will result in a child’s enrollment being suspended until payments are made. Recurring or seriously late payments may result in the family being withdrawn from the program. Parents who sign the tuition contract are responsible for payment, and families receiving subsidies or payments from other sources are responsible for keeping their payment arrangements current and paying the appropriate co-pay.  Families are required to update their income information each year in May during re-enrollment for the following school year. Verification of income, to qualify for sliding scale reduced rates, is provided through the past year’s 1040 Tax Statement and/or W2 forms.  When childcare fees are raised, parents are notified and required to sign a new tuition schedule agreement.

Fees are calculated on a weekly basis. Parents may choose to pay one or more weeks at a time but must ensure that payments are made in advance of the care. We find that falling behind on payments can happen very quickly. Accrual of past due fees causes great financial difficulty for our families and for the RCFC. In order to avoid amounts past due, payment for the following week must be received by close of business on Friday. If payment is not made by Friday, then payment must be made upon arrival on Monday or we will be unable to accept the child for care. In order to return to care, payment of fees due must be made in full. A $25 late fee is applicable to any account violating the terms of payment. The only time families are not responsible for payment is during the Winter Break starting 12/20/13. Students are exempt from payment for Winter Break starting December 13th unless they choose to use the facility during that time.  Students are also exempt from payment for KSU’s Spring break.

Please place all checks in the deposit box next to the front desk rather than handing them to front desk personnel. The Director will collect the checks from the box and return receipts to your child’s cubby within three business days.

Please note that fees are set taking holiday closings and snow closings into account. There will be no change in fees during weeks with holidays or snow closings. In addition, there is no change in fee due to illness or absence.

Late Pick Up Fees

The daily hours for RCFC are from 7:00 a.m. till 5:30 p.m. Families who do not pick up their children by the 5:30 P.M. will incur a late fee in the amount of $15 per child for the first five minute period and an additional $15 for each five minute period thereafter. These fees are to be paid in full within one month of the occurrence.

When possible, please notify us in advance if a different person will be picking up your child. That person must be on your Emergency Pick up List in order for us to release the child. We will ask for picture identification before we release the child.  It can be very difficult to find someone to pick up a child when last-minute emergencies occur. Often families in a bind will call and ask if another RCFC parent could pick up their child. Due to liability issues, we CANNOT release a child to anyone without prior written authorization from the parent. You are encouraged to list as many people as possible for authorized emergency pick up. The more people listed, the more likely that you will be able to find someone who is available when a problem arises.  If an authorized person does not pick up a child within two hours of RCFC closing, staff may contact and/or release the child to appropriate child protective agencies.  If a family is consistently late in picking up his or her child, a conference will be scheduled with the Director to address this concern.

Child Care Subsidy Program

The information in this section is provided to assist our families. Please be aware, however, that the RCFC does not administer nor have power to make changes in the subsidy program. The information below may not be completely current or accurate. It is the parent’s responsibility to contact CCAP to ensure that they have correct information.  Eligible.  Please contact the child care assistance program at (502) 564-7616 for more information. If you qualify for subsidy payments, documentation must be presented to the RCFC 3 business days prior to enrollment.  Participants must be aware of the expiration of their contract and make co-­?payments to be sure services do not lapse. Should your contract lapse; the contract holder (you) will be held responsible for any and all charges that may occur. Failure to be responsible for the charges may result in removal from the program.  If a child is absent more than 5 days per month, the child care assistance program will not subsidize the cost of care. The absences may be excused if the parent submits documentation to explain the absences beyond 5 days. The parent is responsible for any amount not covered by the child care assistance program.

Sibling Discount

In order to support our families with more than one enrolled child, we offer a $5.00 per week discount for siblings of the first child.
